01 Who we are

This website is run by Choosespeed Ltd, which trades as Choose Speed ("we", "us"). We are a company registered in England and Wales, company number 14291295, with our registered office at 21 Percy Road, Warwick, CV34 5EU.

We decide why and how your personal data is used when you use this website or contact us, so we are the "controller" under the UK GDPR and the Data Protection Act 2018. If you are in the European Union, the EU GDPR applies to you in the same way.

You can reach us about anything in this notice at contact@choosespeed.com.

02 What we collect and why

We collect only what we need. We do not sell your data and we do not use it for advertising.

When you send an enquiry or a request through a form (project brief, special request, marketing quote, security quote or contact), we collect:

  • your name and email address
  • your company name and phone number, if you give them
  • the services you are interested in, your budget range, deadline, links and the description you write
  • for a security quote: the addresses you want checked and your confirmation that you own them or are allowed to test them
  • the language of the page you used, the form you used and the wording of the consent you agreed to

When you join a waiting list for a product, we collect your email address and the product you asked about.

When you subscribe to our newsletter, we collect your email address, the language of the page, the wording and time of your consent, and the time you confirm your address by the link we send. We send nothing until you confirm, and you can unsubscribe at any time with the link in our emails.

When you buy from the store (once it opens), we collect your email address, what you bought with its price and licence, the order number, the time you agreed to the download and cancellation terms, and a reference to your payment from the payment provider. The download link is kept with the order and we count how many times it is used. We do not receive or store your full card number.

We use these details to answer you, to prepare a quote or a plan, to keep a record of what was agreed, and, if you become a customer, to deliver the work and keep our accounts.

When you only browse, our servers record technical data such as your IP address, the pages you request, the date and time, and your browser type. We use it to keep the website running, to find faults and to protect it from abuse. A short-lived session record is also kept while you use a form, so that the form works safely.

We do not use analytics, advertising or tracking tools on this website at the moment. If that changes, we will ask you first and update this notice.

03 Our legal reasons

Data protection law asks us to have a reason for each use of your data. Ours are:

  • Your consent, which you give by ticking the box on a form, joining a waiting list or subscribing to the newsletter. You may withdraw it at any time.
  • Taking steps at your request before a contract, and carrying out a contract with you once you become a customer.
  • Our legitimate interest in keeping the website secure and working, and in answering questions and keeping records. We balance this against your rights and do not use it where your rights come first.
  • Our legal duties, for example keeping accounting records.

04 Who sees your data

Your details are read by the people at Choose Speed who answer enquiries. We share them only with companies that help us run the service, and only for that purpose:

  • our hosting provider, Hostinger, which stores the website and its database
  • our email provider, which delivers the messages we send and receive
  • Stripe, our payment provider, once the store opens. You pay on Stripe's own page. Stripe handles your payment details itself and we do not see or store your full card number. Stripe also uses some data for its own purposes, such as preventing fraud, and explains this in its own privacy notice at stripe.com/privacy. If we change payment provider, we will name the new one here before it is used.

We may also share data when the law requires it, for example with a court, a regulator or the police, or with our professional advisers (accountants, lawyers) under a duty of confidence.

05 Transfers outside the UK and the EEA

Some of our providers may process data in other countries. When your data leaves the UK or the European Economic Area, we make sure it is protected, for example by relying on an adequacy decision or on standard contractual clauses approved by the regulator.

06 How long we keep it

  • Enquiries and quotes that do not lead to work: for up to 24 months after our last contact, then deleted.
  • Waiting list emails: until the product is launched and we have told you, or until you ask us to remove you.
  • Newsletter: until you unsubscribe. After that we keep only a note that you unsubscribed, so that we do not email you again.
  • Security quotes and the confirmation of authorisation: for as long as the work and any dispute about it could continue, and no longer than six years.
  • Contracts, orders, invoices and accounting records: six years, as UK law requires for companies.
  • Server logs and session records: only for as long as needed to run and protect the website. Session records are short-lived.

If you ask us to delete your data sooner and the law does not oblige us to keep it, we will delete it.

07 Your rights

You have the right to:

  • ask for a copy of the data we hold about you
  • ask us to correct data that is wrong or incomplete
  • ask us to delete your data
  • ask us to limit how we use it, or object to a use based on our legitimate interest
  • receive the data you gave us in a common format, where it is processed by automated means on the basis of consent or a contract
  • withdraw your consent at any time, without affecting what we did before

We do not make decisions about you by automated means.

To use any of these rights, write to contact@choosespeed.com. We answer within one month. We may need to confirm who you are first. These rights are free in normal cases.

08 Complaints

Please tell us first so that we can put things right. You may also complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113. If you are in the EU, you may complain to the data protection authority of the country where you live or work.

09 Children

This website is for businesses and adults. We do not knowingly collect data from children. If you think a child has sent us their data, write to us and we will delete it.

10 Security

We protect your data with encrypted connections (HTTPS), restricted access and regular updates. No system is perfectly safe, so if we ever find a breach that puts your rights at risk, we will tell you and the regulator as the law requires.

11 Links to other websites

Our showcase and some pages link to websites that are not ours. We do not control them, and this notice does not cover them. Please read their own privacy notices.

12 Changes to this notice

When we change this notice we publish the new version here with its date. If a change is important, for example a new way of using your data, we will tell you before it applies.
